Management of Change software is a tool used by companies to communicate changes to existing policies and regulations as well as inform them of new procedures, policies, regulations, or just general information.
It allows individuals to distribute these changes to the appropriate personnel to be reviewed and approved. It then provides a method of notifying all of the affected employees. It tracks who has been notified and whether or not they’ve acknowledged the change.
The user creating the change notice has the ability to define which areas or departments within their facility need to approve the change. The MOC system will notify the reviewers via email to let them know there’s a change that needs to be reviewed. It will also send them a reminder if they don’t take care of it promptly. When they log in to review the change, they will be prompted to answer a series of pre-defined questions. You define the areas (unlimited) and you define the questions (also unlimited) needed for review.
Once the all reviewers have answered their questions and say that the change is good to go, the individual who has the authority to be the final approver is notified via email. If this individual rejects this change, the initiator will be informed that it has been rejected and given the reason why. If it is approved, the initiator is informed so that employees can be notified of the change.
The software notifies the appropriate personnel via email that a change is taking place and they need to log in, read it, and acknowledge that they have read it. The system tracks these acknowledgements as well as providing reminders if the employee is not prompt at reading about the change.
The MOC system has functionality to track action items needed to implement a change.
